Job Mission
Plan and purchase inventory to maximize in-stock levels, and inventory turn while minimizing overstocks. Work with Sourcing and Merchandising to identify risks and develop strategies for mitigating them.

Primary Responsibilities

Project sales and inventory for each season.
Placement of initial orders and reorders.
Analyze SKU sales performance to determine inventory liability.
Update demand forecasting system with vendor lead times and Safety Stock requirements.
Analyze Item Buy Plans daily to determine flow of merchandise to distribution center.
Analyze historical data and current trends to identify risks and opportunities by department and class.
Create pre-season sales, gross margin and inventory plans by SKU and class that support product strategies
Reconcile top-down to bottom-up class plans
Recap and analyze actual sales results to plan, and forecast in-season sales and inventories on a weekly, monthly and quarterly basis.
Re-forecast sales and manage inventory for all basic styles to meet financial goals.
Manage and communicate division level markdown recommendations and strategies.
Participate in company and brand initiatives as appropriate.
Communicate financial results, forecasts, and action plans to manager and cross-functional team on a weekly basis.
Recommend strategy for unproductive inventory.
Work with merchandising to determine departmental SKU level sales projections and product assortments.
Oversee and ensure timely and accurate SKU/inventory data input into demand forecasting database.
Review catalog proofs, pagination and layout for areas of responsibility.
Identify and implement item curves where necessary.
Position will also include ownership of some reporting responsible weekly.
Must be able to clearly and concisely present analytical data and propose solutions in an organized.
Review item sales & receipt flow weekly and communicate out to team items performing above forecast.

Requirements/ Qualifications:
BA/BS Required.
3-5 years inventory management experience.
Able to build and maintain productive relationships with peers and cross-functional teams.
Flexible and adaptive to changing priorities.
Attention to detail and follow through.
Able to organize and prioritize workload to meet deadlines.
Demonstrates strong listening, written and communication skills.

Job Description:

Position Title: Purchasing Coordinator l
Position Purpose:

Manage the purchasing of fixtures and available inventory for new stores, remodels, wish lists, rollouts, and miscellaneous requests, as well as distribution and deliveries. Monitor and manage stored inventory and in-house inventory. Update and track licensee information. Seek and develop new sources of supply. Prepare and manage RFP for goods and services as assigned by Purchasing Director. Look for and identify cost savings opportunities.

Essential Functions:

Purchase all fixtures for new store, remodels, special items, rollouts, wish lists and miscellaneous requests.

a) Receive approval and/or confirm projects are within assigned budget.

b) Prepare Capex and/or procurement paperwork when necessary.

c) Create Purchase orders and release fixtures from inventory.

d) Submit payment requests if required.

e) Arrange all deliveries and transfers.

Sign off on invoices once project is complete. Keep track of all miscellaneous requests and rollout expenses.

Manage inventory and purchasing of fixtures for GUESS Stores ? new stores, remodels, wish list, miscellaneous requests, and special items.

a) Create visual reports on existing fixture quantities which include projection spreadsheets based on the Construction schedule.

b) Receive approval and/or confirm projects are within assigned budget.

c) Support the Construction team with inventory updates.

d) Coordinate fixture transfers from store to store or to in-house or vendor warehouses.

e) Assist Purchasing Accountant with invoice discrepancies. This includes changing purchase orders to reflect adjusted invoice amounts, issuing debit memos and/or obtaining proper approval for invoices when needed.

Maintain filing of purchase orders in their respective store and vendor files to allow for easier retrieval of information.

Manage the updating and tracking of licensee information for new stores, remodels, wish lists, and miscellaneous requests for quarterly charge backs.

a) Keep track of new, current, and existing licensee agreements.

b) Obtain licensee approval for rollouts and wish list projects.

c) Retrieve necessary backup from the new store, remodel take offs, or project folders for chargeback preparation.

d) Make copies of all invoices and highlight items pertaining to particular licensee and create separate folders and cover sheets for each licensee category.

e) Forward all documentation to Licensee Department for billing purposes .

Manage complete RFP process for goods and services as assigned by Purchasing Director. (Annual requirements, fixture rollouts)

a) Develop RFP scope of work by using inventory reports, construction schedules and input from requesting departments.

b) Manage RFP process with potential suppliers; pre-bid meetings, analysis of proposals, and award to supplier.

c) Source and qualify new suppliers.

Responsible for maximizing sales and minimizing variable costs of stores within a geographic district(s) by optimizing and monitoring the efficiencies of store operations, and ensuring that costs are controlled and profits are maximized

Job Responsibility including but not limited to:

Staff Planning

  • Works with the store management teams and district managers to ensure that staff plans operate in accordance to H&M the business need and policy, based on sales peaks, customer demands, garment replenishment, and the general store functions necessary for efficient operation
  • Works with stores to achieve or exceed Sales per Hour goals
  • Sets and monitors the ideal staff levels and availabilities of store teams to ensure efficiency and compliance to ideal store plans
  • Inputs, monitors, and updates the staff planning portion of the H&M Scheduling, Time, Attendance, and Registration system.



Allocations

  • Responsible for flow of garments from warehouse to shops, ensuring the correct balance of stock levels to sales
  • Communicates, trains, and develops store and district teams in pertinent allocation information
  • Analyzes and takes action on over and under stock store, concept and department situations utilizing specific tools and programs
  • Optimizes sales logistics; including the creation and pertinent updates to delivery schedules
  • Communicates and partners with regional and support office team (i.e. Supply Chain Controller and Merchandisers) District team and Store teams to achieve Company and concept stock goals
  • Ensures that stores within the district follow up on proper reduction and garment flow procedures



Sales and Cost Planning, Control, Forecasting, and Follow-Up

  • Challenges and promotes cost consciousness and effectiveness within district(s)
  • Creates and partners with store management teams and district managers as needed for annual sales, worked hour, salary and variable cost budgets; and quarterly sales and hours plans for all stores within district utilizing historical data, known events and benchmarking
  • Monitors, analyzes, and benchmarks weekly and daily sales and hour plans and results from stores
  • Creates mid-year and fourth quarter sales, worked hour, salary and variable cost forecasts
  • Updates and controls all sales and worked hour figures in various H&M systems
  • Conducts weekly and monthly concept performance analysis and benchmark and regularly communicates these findings and conclusions to district and store teams
  • Performs monthly follow-up of all variable costs and takes action when costs exceed budget.
  • Serves as liaison with Accounting Department regarding follow-up of costs in district and invoice flow
  • Creates business proposals with appropriate district team members for district initiatives including concept changes and layout moves and conducts sales, cost and profit analysis



Staff Development

  • Supports the recruitment and development of Operations Manager(s), if applicable, within the district
  • Provides consistent feedback, evaluations, and performance reviews to the Operations Manager(s), if applicable
  • Communicates controlling function-related feedback of store teams to District Manager
  • Conducts controlling function-related workshops for store teams
  • Trains and develops store teams in sales and hour planning



Financial Accountability: Works with 1-2 districts, each containing 10-15 stores and totaling 40-100+ million in annual sales

Minimum Candidate Qualifications:

  • Bachelor’s Degree, preferably with a finance, business or economics major
  • 1-3 years of past retail experience, preferably in retail management
  • 1-3 years in a business analyst or finance role

•Review depth and breadth of assortment, populate distribution sheets and present back to Allocation Manager
•Create, review and manage size scales with initial allocation for new deliveries and stores
